Position Summary

UnitingCare Queensland (UCQ) provides health and community services to thousands of people every day of the year.  As the health and community service provider of the Uniting Church we have supported Queensland communities for over 100 years.  Our 15,000 staff and 9,000 volunteers care for and support people from all walks of life, including older people, people with a disability, children, families and Indigenous people. 

 

UCQ is currently embarking on a large transformation program to help us to better position ourselves to deliver on our mission and to be sustainable in the long term. 

 

The purpose of the Executive Assistant role is to provide a high level of administrative and secretarial support to the Group Executive in an efficient, personal and confidential manner. In addition this position is pivotal in providing strategic and business process assistance to the wider organisation.

 

Your responsibilities will include:

  • Completing all tasks delegated by the Director/Executive efficiently and effectively
  • Diary management including arranging internal and external appointments and any associated travel and accommodation required
  • Prepares Board/meeting papers, including finalises meeting papers, prepares agendas, records and produces minutes of meetings, reviews supporting documents, identifies and takes action on action items arising from meetings
  • Organise functions, workshops and meetings
  • Liaising with external providers and suppliers; stationery, IT, facilities for proactive practice management
  • Extensive report, business papers, correspondence and presentation preparation
  • Responding to telephone enquiries – first point of contact
  • Supervising junior administration staff if applicable
  • Coordinating events (internal or client related)
  • Email and telephone management
  • Working closely with other EAs to ensure adequate coverage across executives

 

You will have the following:

  • Minimum 3-5 years providing executive support and assistance at a senior management level.
  • Extensive Microsoft Suite skills and knowledge (MS Office, Excel, PowerPoint, Outlook etc)
  • Demonstrated high level skills in dealing confidently and courteously with people at all levels
  • Strong organisational skills, the capacity to successfully manage competing priorities, maintaining attention to detail and meeting deadlines
  • Strong written, spelling and grammar skills
  • Experience in organising workshops and meetings, including preparation and distribution of papers
  • Capacity to work independently with minimal direction and collaboratively in a team environment
  • Experience within the finance, health, aged care and/or community services sectors and the not-for-profit sector is desirable.

Selection Criteria Desirable: Do you have a Diploma in Business Administration, Event Management or other relevant qualification?
